Job Purpose
Manage and update the operational manuals and associated documentation within the Flight Operations department, according to regulatory requirements and internal needs, ensuring compliance, operational efficiency, and seamless adaptation to procedural changes.
Main Accountabilities
- Maintain the accuracy and compliance of the operations manual, ensuring it is up-to-date with the latest regulations and internal procedures.
- Implement well-documented, accurate procedural changes that improve operational efficiency and comply with regulatory standards.
- Ensure successful project outcomes by integrating specialist knowledge into cross-departmental initiatives.
- Achieve positive audit results and maintain regulatory compliance through thorough
preparation and support. - Equip staff with the knowledge and skills needed to perform their duties safely and efficiently, in line with updated procedures.
- Secure reliable and high-quality support from external providers, ensuring seamless integration of their services into Vueling's operations.
- Ensure Vueling remains compliant with all new regulatory requirements, minimizing the risk of non-compliance.
- Foster a knowledgeable and competent team capable of maintaining high standards of operational documentation and compliance.
- Ensure all changes are implemented smoothly and safely, with thorough consideration of all potential risks and impacts.
- Maintain a positive and transparent relationship with regulatory authorities, ensuring all inquiries are answered promptly and accurately.
- Continuously improve Vueling's operational efficiency and safety through the proactive development of new procedures.
- Provide easy access to current and accurate operational documents for all relevant staff members.

Main Responsibilities - Tasks
- Manage updates to the operations manual, ensuring the operations manual reflects all current procedures, processes, and regulatory requirements.
- Analyse and document changes required in operational procedures, evaluating the impact of proposed changes, and considering various factors such as safety, efficiency, and regulatory compliance.
- Engage in cross-departmental projects and initiatives, participating in and contributing to projects that require collaboration across multiple departments, such as maintenance, training, and ground operations.
- Prepare for and support during audits, reviewing and ensuring compliance with all relevant documentation, and assist auditors by providing necessary information and clarifications.
- Design and update training programs, developing and revising training materials for crew members and office staff, ensuring they are informed of any changes in procedures or regulations.
- Liaise with external providers, managing relationships with providers of documentation services, ensuring all deliverables meet the required standards and timelines.
- Manage regulatory change processes, conducting in-depth analyses of new regulations, interpreting their implications for Vueling, and implementing necessary changes in procedures and documentation.
- Mentor and support junior staff, providing guidance, training, and support to less experienced team members, helping them to understand and perform their roles effectively.
- Coordinate and implement Management of Change (MOC) processes, overseeing the entire MOC process for significant changes, including risk analysis, impact assessment, and stakeholder coordination.
- Respond to regulatory inquiries and feedback, acting as the primary point of contact for regulatory bodies, addressing their questions and concerns regarding Vueling’s operational procedures.
- Develop new operational procedures for emerging needs, identifying and addressing gaps in current guidelines, and creating new processes to meet evolving operational demands.
- Manage the library of operational documents, ensuring that all operational documents are up-to-date, accessible, and organized within the company's documentation system.
- Any other responsibility or function that is assigned inherent to the job.
Main Relationships
- Training Department: To design and update training programs for crew members based on procedural changes.
- Ground Operations: Coordinate procedures affecting ground handling and other ground operations.
- Compliance and Safety: To ensure all procedural changes and documentation comply with regulatory and safety standards.
- Operations Control Centre (OCC): To ensure that all operational manuals and procedures are aligned with flight operations.
- Maintenance Department: To ensure that all technical updates and changes are accurately reflected in the operational manuals.
- External Providers (e.g., DKV): To manage documentation services and address issues related to document management systems.
Education
- Degree in Aeronautical Engineering, as the role requires a solid foundation in aeronautical engineering to understand and manage the technical details involved in updating and maintaining operational manuals.
Experience
- Extensive knowledge of operational manuals and regulatory documentation, as the
specialist must be well-versed in the structure and content of operational manuals,
understanding how to navigate, interpret, and apply regulatory standards within these
documents. - Familiarity with European aviation regulations and standards, as a detailed
knowledge of EASA (European Union Aviation Safety Agency) regulations is essential
to ensure compliance and proper implementation of required changes. - Understanding of internal company procedures and operational needs, with insight
into Vueling’s specific operational procedures and needs, allowing for tailored
updates and effective integration of new processes. - 2-3 years of relevant experience, with experience specifically in managing operational manuals, understanding aviation regulations, and implementing procedural changes within an airline or aviation context is required. This ensures the specialist can autonomously handle complex updates and changes without needing constant
supervision. - Experience in handling and interpreting regulatory changes, with proven ability to
read, interpret, and apply regulatory changes to the operational context, ensuring all
documentation remains compliant with the latest standards. - Experience in cross-departmental project management and change management
processes, with involvement in projects requiring coordination across various departments (e.g., Maintenance, Training, Ground Operations) and managing significant procedural changes. - Experience in drafting and updating complex procedural documentation, with
demonstrated skill in creating detailed, accurate, and clear procedural documentation
that aligns with both regulatory requirements and operational needs.
